The difference between WhatsApp and WhatsApp Business is bigger than a logo with a "B" on it. One is a personal messenger; the other adds a business profile, automatic replies, labels and a catalogue. Here is what actually changes, what stays the same, how to switch without losing chats, and when you need the API instead of either app.
The short answer: WhatsApp (Messenger) is the personal app; WhatsApp Business is a separate app from the same company, built for small businesses. Both are free to download and use the same encrypted chats, but WhatsApp Business adds a business profile, greeting and away messages, quick replies, labels and a product catalogue. If you need several staff, software integrations or messages at scale, you need the WhatsApp Business Platform (API), not either app.
Most owners compare two apps, but there are really three ways to use WhatsApp for a business. Knowing which one you are on avoids a lot of confusion later.
The personal app on almost every phone. Fine for chatting with friends, family and a few customers, but it has no business tools.
Personal useA separate app for Android and iPhone with a business profile, auto-replies, labels and a catalogue. Run from one main phone.
Most small shops and servicesNot an app at all. An API that connects WhatsApp to your website, CRM, chatbot or shared inbox, with per-message charges.
Teams and automation at scaleThis guide is about the first two. When you outgrow the app, our guide to WhatsApp API integration covers the third.
Both apps look almost identical once you open them. The differences sit in the settings menu, under "Business tools".
Feature names above follow WhatsApp's own Business app features page, as of November 2026. Features roll out by country, so check the page for what is live in India.
These are the tools that make the switch worth it for a shop, clinic, salon, coaching centre or any service business that gets enquiries on WhatsApp.
Logo, description, address, opening hours and website, so customers can trust they have reached the real business.
An automatic welcome for new chats and a reply outside your hours, so nobody feels ignored at 10 pm.
Type a shortcut such as /price or /location to send a saved answer. Saves hours on repeated questions.
Mark chats as new lead, pending payment or order complete, then filter by label to follow up.
Show products or services with prices and photos. Customers can add items and send them as one message.
Send one update to many customers as private chats. WhatsApp says its newer Business Broadcasts are available to eligible users in select countries.
Free ways in: WhatsApp Business also gives you a QR code and a short link to your chat, which you can put on your website, Google Business Profile, bills and shop counter.
Switching apps does not change the basics your customers rely on. Both apps share the same core messenger underneath.
With Meta Verified, WhatsApp's features page says a business can link up to 10 devices and agents. Without it, the app is still built around one main phone, which is the real limit for growing teams.
A phone number can only be active on one WhatsApp app at a time. If your shop number is on personal WhatsApp today, you move it rather than run it on both.
In WhatsApp settings, run a chat backup to Google Drive on Android or iCloud on iPhone. Do this first, every time.
Download it only from the Google Play Store or Apple App Store. Search for the official app published by WhatsApp.
The app detects the number already on WhatsApp on that phone and offers to use it, bringing your chats across. Verify with the code it sends.
Add your category, address, hours, description and website. Use your real trading name, not keywords.
Write a greeting message, an away message for your hours, five or six quick replies and a few labels.
Never use modified apps such as GB WhatsApp or "WhatsApp Plus", or bulk-sender extensions, to get extra features. They break WhatsApp's terms and are a common reason business numbers get banned. Our guide on what to do when a WhatsApp Business account is banned explains how that plays out.
The Business app is excellent until enquiries outgrow one phone and one person. These are the signs it is time to look at the WhatsApp Business Platform.
How businesses usually grow on WhatsApp
Each step is optional. Many small businesses stay on the Business app for good, and that is fine.
The API is not free. Meta charges per delivered template message, and a provider may add a monthly fee; see WhatsApp Business API pricing in India. For the practical side, from replies to bots, our guide to automating customer service helps.
Three quick questions. Pick the closest answer.
1. How many customer chats do you get on a busy day?
2. Who answers them?
3. What would help most?
Keep it simple. Switch to the Business app when customers start messaging regularly, so they see your hours and address.
Back up, move your number, and set up the profile, greeting, away message and quick replies. It costs nothing and takes an hour.
A shared inbox, automation and a chatbot need the official API. Budget for per-message charges and set it up through Meta or a recognised provider.
If you go the API route, we can connect it to your website, CRM or chatbot through Meta directly or the provider you choose. We are not a BSP or Meta partner; see our AI and automation services.
WhatsApp is the personal messaging app. WhatsApp Business is a separate free app for businesses that adds a business profile, greeting and away messages, quick replies, labels and a product catalogue. Chats, calls and encryption work the same way on both.
Yes, the WhatsApp Business app is free to download and use. Optional extras such as Meta Verified and Meta ads cost money. The WhatsApp Business Platform (API) is different and charges per delivered template message.
Not at the same time. A number can be active on only one of the two apps. You can move your number from WhatsApp to WhatsApp Business and bring your chats across, but back up first.
Normally not. When you set up WhatsApp Business on the same phone with the same number, the app offers to bring your existing chats across. Take a backup to Google Drive or iCloud before you start, just in case.
Yes, with two different numbers, for example on a dual-SIM phone. Many owners keep personal WhatsApp on one number and run WhatsApp Business on the shop number.
Only if you need several staff on chats at once, automatic messages from your website or CRM, or a chatbot. For one owner and a helper, the free Business app is usually enough.
We connect the official WhatsApp Business Platform, through Meta directly or the provider you choose, to your website, CRM or chatbot, so your team can answer faster without risking your number. Get a fixed quote within one business day on our AI and automation page.
