Choosing inventory stock management software usually comes down to one question: will a ready-made tool such as Zoho Inventory, TallyPrime or Vyapar fit the way you work, or do you need something built around your process? Here is how the main options compare, what they cost as of November 2026, and when custom is worth it.
The short answer: For most small Indian businesses, a ready-made tool is the right start: Vyapar for simple billing and stock, TallyPrime if your accountant already uses Tally, and Zoho Inventory for multi-channel online selling. Custom inventory software makes sense when your process is unusual, when you need tight integration with your website or machines, or when per-user and per-order fees start to outgrow the value.
At its simplest, inventory management software keeps one accurate number for every item: how many you have, where they are, and what is already promised to customers. Everything else builds on that.
Live quantity per item and location, updated by sales, purchases, returns and adjustments.
A warning when an item drops below its reorder level, so you buy before you run out.
Invoices, purchase bills and credit notes that reduce or add stock automatically.
Purchase orders, goods received and supplier history in one place.
Sizes, finishes, batch numbers or expiry dates, depending on what you sell.
Fast and slow movers, stock value and dead stock that is tying up cash.
If a spreadsheet already does this reliably for you, you may not need software yet. Most businesses move when two people edit the same sheet, when stock sits in more than one place, or when online orders start arriving.
Three names come up most often with Indian small businesses. They overlap, but each started from a different place.
| Tool | Started as | Best fit | Watch out for |
|---|---|---|---|
| Zoho Inventory | Cloud inventory and order management | Online sellers, several warehouses or sales channels | Plan limits on orders, users and locations; cost rises with scale |
| TallyPrime | Desktop accounting with inventory | Businesses whose accountant already works in Tally | Less suited to customer-facing or online workflows |
| Vyapar | Billing and stock app for small shops | Retailers and traders wanting quick GST bills on desktop and mobile | Simpler stock features than a dedicated inventory system |
If you sell online, check whether your store already covers the basics. WooCommerce and Shopify both have stock quantities and low-stock notifications built in. For a single shop with one location, that can be enough.
These figures were checked on each vendor's official pricing page in November 2026. Prices change, often with offers, so check the linked pages before you decide.
Uses list prices from the official Zoho and Tally pricing pages as of November 2026, with 18% GST added. Ignores offers, add-ons, extra users and price changes. A rough guide, not a quote.
Subscription costs look small month to month, but they add up over several years and rise as you add users, locations or order volume. That is the number to compare against a one-time custom build plus hosting and maintenance.
A custom system is software written around your process instead of you adapting your process to the software. It costs more upfront and needs someone to maintain it, so it should solve a problem that ready-made tools cannot.
A common middle path: keep accounting in Tally, add a custom stock layer
You keep the accounting tool your CA knows, and build only the part your process actually needs.
Write down every way stock comes in and goes out: purchases, sales, returns, transfers, damage, production. This list is your real requirement.
Run a week of real transactions through one or two tools. Problems show up fast with your own data.
Whatever you choose must export cleanly for GST returns and your books.
Include extra users, locations and add-ons. Compare that with a custom build plus maintenance, and see our website cost guide for how fixed-scope pricing usually works.
If customer records are the bigger headache, our guide on what CRM software is covers the same ready-made versus custom question for customer data.
It depends on how you work. Vyapar suits small shops that want simple GST billing with stock. TallyPrime suits businesses whose accountant uses Tally. Zoho Inventory suits online and multi-channel sellers. Try the free plans or trials with your own data first.
Yes. As of November 2026, Zoho Inventory has a free plan limited to 50 orders, one user and one location, and WooCommerce includes basic stock tracking for online stores. Most growing businesses outgrow free plans, so check the limits.
TallyPrime handles stock items, godowns and stock reports alongside accounting, and many Indian accountants know it well. It is less suited to online order workflows or staff using phones on the warehouse floor.
When your process does not fit standard tools, for example manufacturing with raw materials, real-time stock shared between a website and a warehouse, or barcode workflows for one job, or when subscription fees keep climbing with users and orders.
Yes. A common approach is to keep accounts in Tally and build a custom stock system for daily operations, then send sales and purchase entries across so your accountant keeps working in the tool they know.
Usually not. Zoho Inventory and TallyPrime both list prices exclusive of GST, and Tally lists its prices plus 18% GST. Always check the official pricing page for the final amount.
